Understanding registration statuses

Track every step of an employee’s registration and participation in a mission.

🎯 Purpose of the Article

Understand the different registration statuses associated with an initiative on the platform, so you can better monitor participation and handle specific cases (pending, cancelled, confirmed…).

✅ Prerequisites

  • Have an admin or coordinator role

  • Have access to the mission management space or exports

  • Have employees registered on missions

🧭 Registration statuses – Definitions

Status

Meaning

Application (no date slot)

The employee clicked on "Contact the coordinator".

Conversation (no date slot)

A message exchange has started between the employee and the nonprofit.

Looking for a mentee

The coordinator approved the application. The employee is waiting for a mentee to be assigned (managed outside the platform).

Dates to be confirmed

The coordinator has not yet validated the selected date.

Awaiting manager approval

The manager must approve the registration (if this setting is enabled for the company).

In progress

Registration is validated (by coordinator and manager, if needed); mission is upcoming.

Awaiting confirmation

The mission is over; the employee must confirm participation.

Participated

The employee confirmed they attended.

Cancelled / Rejected

Registration was not completed. The reason is visible in the “Participation tracking” export.

Not finalized (no date slot)

The registration was archived after 6 months (mentoring) or 1 month (other missions) without activity.

🧭 Participation certificate statuses – Definitions

Status

Meaning

Awaiting validation

The employee has confirmed participation. The nonprofit (or company, if allowed) must validate it.

Validated

Participation was officially confirmed by the nonprofit or the company.

Disputed

The nonprofit (or the company, if authorized) has denied the participation.

ℹ️ A certificate is a double validation: first by the employee, then by the nonprofit (or the company, depending on the partnership setup).

💡 Special cases and restrictions

  • If the certificate button does not appear:

    • The mission is not company-specific, or

    • The partnership does not allow the company to act on behalf of the nonprofit.

  • If your company is authorized to manage missions:

    • The platform admin can validate or dispute participation directly.

    • If not, only the nonprofit coordinator can do so.

❌ Reasons for cancellation

  • Date refused by the coordinator

  • Date refused by the manager

  • Employee did not participate

  • Employee cancelled their participation

  • Mission was cancelled by the coordinator

FAQ

What should I do when a registration remains in the “Date to be confirmed” status?

A registration with the “Date to be confirmed” status must be validated by the initiative coordinator.

If the partnership allows your company to create initiatives on behalf of the nonprofit, you can approve or reject the registration directly from your admin space.
To verify this: go to Partners > search for the relevant nonprofit > click “View” to check the partnership permissions.

If this permission is not granted, you can send a reminder to the coordinator from the Volunteers menu — and the employee can also trigger this reminder from their dashboard.
