Managing an Existing Initiative

Once your initiative is created, you can manage and update it. Here’s what you need to know:

This article explains how to add or edit dates and time slots for an initiative, adjust capacity, manage roles, or close registrations.

  • Access to the company space

  • Permissions to edit the relevant initiative

🧭 Steps to Manage Your Initiative

1. Add one or more dated time slots

  • Go to My actions

  • Click ✏️ Edit next to the initiative

  • Under the Planning section, click Add a date

  • Fill in:

    • Date and time

    • Maximum number of volunteers

    • Recurrence (if any)

  • Click Save

👉 The initiative will automatically close once the maximum number of volunteers is reached — but this number can still be edited later.

2. Set a time period without fixed time slots

Still under Planning:

  • Click on the Initiative period field

  • Select the start and end dates

  • Fill in:

    • Estimated hours per volunteer

    • Total number of volunteers

    • Overall initiative duration

    • Details on meeting frequency or duration

  • Click Save

3. Manage roles

Coordinator:

  • Can be from the company or the nonprofit

  • Receives registering notifications

Point of contact:

  • Present on-site during the initiative

  • Contact info is shared with volunteers

  • Does not receive notifications

👉 You can add a secondary coordinator if the main one is from the company

⚠️ The secondary coordinator must be from the nonprofit side.

4. Adjust volunteer capacity

If the initiative is dedicated to your company, you can freely increase or decrease the number of volunteer slots.

5. Close registrations in advance

For initiatives with slots:

  • Go to My actions, then click ✏️ Edit

  • Under Planning, set a registration deadline:
    24h, 48h, 72h, 7 days, 14 days, 1 month, or no limit

  • Click Save

⚠️ Extending the deadline may close the initiative automatically. Shortening it may reopen it.

6. Understand initiative statuses

  • Open: The initiative is visible to all employees in your company (unless unpublished manually)

  • Closed: The initiative no longer appears, except for admins or those already registered

⚠️ Closing an initiative does not cancel existing registrations — it only affects visibility.


FAQ

Editing an initiative once volunteers are already registered: limits and solutions

It is not possible to modify certain key elements of an initiative once at least one volunteer has been registered — even if their registration was later cancelled.
The following fields can no longer be changed: initiative type, partner, date and duration. To apply any change, the recommended process is:

• close the existing initiative,
• unregister the volunteers,
• duplicate the initiative,
• then re-register the volunteers on the new version.
