Application process for an initiative

Understand the key steps of the registration process to an initiative.

🧭 The steps of the process

👀 To ensure your application is taken into account, you need to complete the entire process via the pop-up windows after clicking “I'm in!”.

  1. Choose a date or time period

    • Some initiatives have set time slots: choose the one(s) that suit you.

    • Others offer flexible periods (e.g. over a few months): you can suggest your availability later — even across multiple sessions.

  2. Specify your availability (if requested)

    • You can refine your dates later from your dashboard.

    • For long-term initiatives like mentoring, the duration is only indicative — you’ll log your time as you go.

  3. Confirm your application

    • Your participation is only registered once you complete all steps.

    • You’ll receive a confirmation email 🎉

💡 Good to know

  • Displayed = open: only upcoming dates can be selected, even if past ones are visible.

  • 🗓️ Flexible dates? You’re not automatically signed up for the entire range — you decide based on your availability.

  • ➕ New time slots may be added over time — check back if none suit you now.

  • 👩‍💼 Manager validation: if required by your company, your manager must approve your participation (once for the whole initiative, not each date).

  • Work vs personal time: a time slot is either during work hours or personal time — it can't be split.

  • 📨 Email updates: you’ll be notified at every key step (confirmation, approval, completion…)

  • 📝 After the initiative: it will move to “Pending confirmation” — you, the organization, or your company can mark it as “Completed”.

🎯 Special cases

  • 📬 External initiative (with a link to an external site): even if you register outside the platform, come back to confirm your participation.

  • 👀 Approval needed? You'll see the status clearly:

    • “Awaiting manager approval”

    • “Awaiting organization approval”

  • 🤝 Mentoring: duration is flexible. Log your completed sessions manually based on what you agreed with your mentee.

📩 Contact the initiative coordinator

Have a question before or after applying? You can message the person in charge directly:

  1. Go to your dashboard

  2. In the Initiatives section, click on your initiative

  3. Below the title, click Contact the coordinator

  4. Send your message directly from the platform

❌ Cancel your registration

Plans changed? You can easily cancel your participation:

  1. Open your dashboard

  2. In the Initiatives section, select the relevant one

  3. Cancel a specific time slot by clicking Cancel next to it

  4. Or cancel the entire initiative via Cancel at the bottom of the summary
