➡️ Admin: Managing registrations for an initiative

When regularizing a participation, you can now associate multiple time slots with the same employee.

This allows you, for example, to:

  • add several dates to an existing participation,

  • more accurately reflect the employee’s actual commitment to a multi-date initiative.

This action is available from the participation management section within the initiative.

Please note: adding multiple time slots is not possible via file import. Each import line is still limited to a single time slot. If an employee needs to be registered for multiple time slots, they must be added manually via the platform.


➡️ Admin: update to the calculation of day equivalents (engagement KPI calculation)

The calculation of day equivalents has been updated to better reflect commitments spread across multiple time slots. A new display is available in the Reporting tab, and a new column has been added to export files.

🟠 Previous calculation method
Engagement hours were added together and then divided by 8 to obtain an overall day equivalent.

🟢 New calculation method
Day equivalents are now calculated per time slot and then added together.

For each time slot:

  • the number of hours is divided by 8,

  • the result is rounded according to the company’s settings (to the nearest quarter-day or half-day),

  • the equivalents for each time slot are then added together.

Example (expand to view)

An employee commits over several days to the same initiative:

  • 3 hours on Tuesday afternoon

  • 3 hours on Wednesday afternoon

  • 2 hours on Thursday morning

🟠 Before – Overall day count

All engagement hours were added together and then divided by 8 hours to obtain the day equivalent.

  • 3 hours on Tuesday afternoon

  • 3 hours on Wednesday afternoon

  • 2 hours on Thursday morning

= 3 + 3 + 2 = 8 hours
= 1 day of engagement for this employee on this initiative

🟢 Now – Time-slot-by-time-slot day count

The day equivalent is calculated for each time slot, and the day equivalents are then added together.

  • 3 hours on Tuesday afternoon = 3/8 = 0.37 → rounded to 0.5 days

  • 3 hours on Wednesday afternoon = 3/8 = 0.37 → rounded to 0.5 days

  • 2 hours on Thursday morning = 2/8 = 0.25 days

= 0.5 + 0.5 + 0.25 = 1.25 days of engagement for this employee on this initiative


Each time slot is converted individually, and the sum of the equivalents gives the total number of days.

This new calculation method may result in differences compared to previous counts, especially for initiatives spread over several half-days.


➡️ Notifications: new participation-related notifications

New notifications are available to better track employee activity:

  • Tracking participation cancellations
    A notification allows you to track employee participation cancellations. It is enabled by default for all companies, except those in intermission.

  • Adding past dates
    A new notification informs administrators when employees add past dates to their participations.

These notifications can be viewed and managed from Dashboard > Account settings > My notifications.


➡️ Volunteers: selecting multiple time slots during registration

When an initiative offers several time slots, volunteers can now select multiple ones when registering.

In practice, during their application:

  • the candidate can check one or more available time slots,

  • the registration will apply to all selected time slots.

This update simplifies registration for participations spread over multiple dates.


➡️ Find an activity: new search filters available

Initiative search has been enhanced to help you refine results.

  • Initiative type filter
    The initiative type filter is now available from the All actions view, and no longer only from Complete an initiative.

  • Location filter
    When searching by location, it is now possible to choose the radius around the selected location. This radius is fully customizable, whereas it was previously fixed at 50 km.

  • Remote initiatives and the location filter
    When a location filter is applied, remote initiatives without an address are no longer displayed in the results. To view these initiatives, the location filter must be removed.
