Managing and tracking applications from a call for projects

Easily view, process, and export applications submitted as part of a call for projects.

🎯 Purpose of this article

This guide explains how to review and manage applications submitted through a call for projects on the platform. You will learn how to:

  • View submitted applications

  • Update their evaluation status

  • Export applications for archiving or external analysis

This article is intended for administrators or project coordinators involved in the application review and selection process.

✅ Prerequisites

  • Hold the Administrator role and CFP coordinator

  • Have created at least one active call for projects with submitted applications

1️⃣ Manage applications from the platform

To access and process the list of applications:

  1. Go to Administration > My actions > Calls for projects

  2. Click on Manage applications for the relevant call

From this screen, you can:

  • Update the status of the call for projects (e.g., In progress, Under review, Completed)

  • Update the status of each application individually

For each application, you can:

  • 👁️ View: open the full application file with attached documents

  • Export: download the application as a .pdf file

  • 🟢 Change status: Pending review, Eligible, Shortlisted, Winner, Rejected, Cancelled

About email notifications

When updating an application to Winner or Rejected, the platform prompts you to choose whether to send an email notification to the applicant:

  • In manual mode, notifications are sent immediately

  • In automatic mode, notifications are sent every 30 minutes

About the "Draft" status

At the end of the form, applicants can click on 🖊️ Save as draft to save their application with one click.

  • In online mode (i.e., logged in), the draft is accessible from their dashboard, and they receive an email with a modification link.

  • In offline mode (i.e., not logged in), a window prompts them to enter an email address to receive the link and retrieve their draft later.

💡 This works for both public and private calls for projects.

2️⃣ Export applications as PDF or in bulk

You have two export options:

  • Export a single application

    • Click on the Export button next to the application

    • A .pdf file is generated with all submitted data and documents

  • Export all applications

    • Click on Export all applications

    • A .zip file is generated containing one folder per application

3️⃣ Download a global application tracking file

To analyze all submitted applications in a spreadsheet format:

  1. Go to Administration > Reporting > Export

  2. Download the file named Call for projects – Application tracking

This export includes:

  • Key information about each application

  • A column with direct download links to access attached documents
